How do I create web Forms?

Webforms are a combination of a web page and a form. The page content lives at the top of the form.

Webforms can be used anytime you want to collect information from your site's visitors. This could be contact forms, surveys, applications, etc. There are several kinds of fields you can have on a webform. These instructions will show you how to add and configure each kind of form.

Step 1: Add a form

Logged in with administrator privileges, go to the admin menu and choose Content, and in the sub-menu, choose Webform.

Enter the title of the form, and below that enter the Body if there is one. It may be blank or something like: "Please fill out the form below".

Next, you can add the form to the menu. Type in the Menu link title and choose where it should live in the parent item drop down list.

Then, click Save. This completes the page portion of the webform. When you save, the form portions opens up (step 2, below). This interface will be different than the editor.

Step 2: Add the form fields

Depending on what type of data you're collecting from your users, you can choose different types of form fields and configure their options.

Adding Text Fields

Text fields are used to collect short answers, such as Name.

  1. Enter the Label. For example: First name.
  2. Select Textfield from the dropdown in the type column.
  3. Check Mandatory if the field must be filled out.
  4. Click Add. The Edit Component: First name window opens. For the most part you will leave these fields alone, but you do have some configuration options.

  5. You can add help text in the description area. The help text will show up at the bottom of the field on the form and can be used to help the user fill in the form.
  6. You can check or uncheck the Mandatory box if you haven’t already done that.
  7. When you're done with these edits, click on Save component.

Adding Textarea Fields

A textarea is used when the user needs to input more than a short answer.

  1. Add the Label.
  2. Choose Textarea in the drop down list.
  3. Check Mandatory if the field must be filled out.
  4. Click Add. The Edit Component window opens.
  5. You can adjust the width and height.
  6. You can make the text area resizable. This means that the user can pull the corner of the text area and adjust how big it is.
  7. Click Save component.

Adding File Upload Fields

File fields are used when you need the user to upload a file. Never ask for sensitive or private information in a file or other field. These files will be public. Do NOT collect any information that you don’t want the world to see. Files are not sent to you in the submission email, but you can access them in result portion of the webform.

  1. Add the Label.
  2. Select File in the drop down list.
  3. Check Mandatory if the field must be filled out.
  4. Click Add. The Edit Component window opens. For the most part you will leave these fields alone, but you do have some configuration options.

  5. Leave the Label and Key fields alone.
  6. You can add a description if you would like.
  7. Please change the file extensions. Most likely you will want documents, but choose only the file types that you need/want.
  8. Click Save component.

Configuring Email notifications

When the form is submitted, an email can be sent to one or more email addresses, so you know there is a submission. To configure this, click on the Emails button at the top of the Webform page.

  1. Select the Address radio button.
  2. Type in the email address to which you want to send a notification
  3. Click Add.

Step 3: Viewing submissions

When the Form Components are all done, you can click on the View tab to see the form. To see the page portion, click on Edit. To see the webform components portion, click on the Webform tab.

To see the submissions from the form, click on Results. You can also download the results into a CSV or Excel spreadsheet from this page.
